Welcome to FitDesk ("we," "our," or "us"), operated by BERALYTICS SYSTEMS. FitDesk provides fitness center management software, biometric attendance terminal kiosks, mobile applications, and gym management portals. We are strongly committed to safeguarding your privacy and protecting personal data in compliance with applicable laws, including the Digital Personal Data Protection Act, 2023 (DPDP Act) and Google Play Developer Program Policies.

2. Information We Collect

When you interact with FitDesk web applications, mobile apps, or hardware attendance terminals, we collect the following categories of information:

• Personal Identification Data: Full Name, Mobile Phone Number, Email Address, and optional Government Identifier (e.g., Aadhar Number) provided by the fitness facility for membership verification.
• Biometric & Check-in Data: To facilitate seamless kiosk check-ins and prevent unauthorized entry, our hardware kiosks collect encrypted mathematical fingerprint templates. We do not store raw fingerprint images. Templates are securely hashed and matched locally or in secure cloud enclaves solely for attendance verification.
• Financial & Subscription Data: Membership fee payments, subscription tier names, renewal dates, and billing history generated when purchasing or renewing gym memberships.
• Technical & Device Information: QR code verification tokens, kiosk device authorization keys, IP addresses, browser types, and mobile app session storage tokens used to securely maintain login state across app restarts.

3. How We Use Your Information

We process personal data strictly for the operation and optimization of fitness center services:

• Authorizing gym access via QR scanning or biometric terminal check-in.
• Tracking daily attendance logs and computing active membership validity.
• Sending automated subscription renewal reminders, invoices, and payment receipts.
• Maintaining secure, long-term authentication sessions inside our mobile app and dashboard.
• Generating anonymized gym attendance and revenue analytics for facility administrators.

4. Biometric Data Protection

FitDesk treats biometric data with the highest degree of security. Mathematical fingerprint templates generated by our fingerprint scanners (such as SecuGen terminals) are encrypted. Biometric templates are never shared with third-party advertisers or external organizations, and are used exclusively by the specific gym facility where you enrolled.

5. Data Retention & Deletion

We retain member records and attendance logs only for as long as your gym membership remains active or as required for financial auditing and compliance.

Your Right to Deletion:

Under applicable data privacy standards and Google Play User Data policies, users and gym members have the right to request full deletion of their personal and biometric records. You can request deletion by:

• Contacting your facility manager directly through the FitDesk Owner Dashboard.
• Emailing our Data Protection Officer at support@beralytics.in with your registered mobile number and gym name.
• Submitting a request through our Online Data Deletion Form.

Upon verification, all biometric templates, identity records, and access tokens are permanently wiped from active servers within 14 business days.

6. Cookies & Local Storage

FitDesk uses strictly necessary HTTP cookies and mobile localStorage tokens to ensure persistent login sessions across mobile apps and browsers. We do not use third-party advertising tracking cookies across our dashboard or kiosk applications.
